Time & Attendance
The first step in the payroll process is keeping track of what time has been provided by an employee, Time & Attendance, for which the employer has promised to pay a certain wage rate. So, there needs to be a way of keeping track of that time. In the past, there were time clocks, which worked well for those employees that were paid an “hourly” wage. However, there is a class of employees that are considered “salaried” employees. Salaried employees are employees who are paid for getting the job done, not for the time that they provide to the employer. This is defined by federal regulation, and there are requirements that must be met in order to have salaried employees. Additionally, there needed to be a process that took the information from the time clock to the payroll system. We offer an online timekeeping solution which will allow employees to “sign in” and report their time on a daily, weekly or “other period” basis. We also offer supervisory approval of that time reported, prior to the processing of payroll, and a way to adjust that time for errors and omissions. This can all be accomplished through desktop or mobile devices. Additionally, if there is need for added security, there are timeclock and iris scanning options.
Payroll Processing
The next area is Payroll Processing: Essentially, this step takes the information that is generated by Time & Attendance and incorporates the promises that the employer has made to the employee, such as rate of pay, taxes and benefits withheld, employer matches of the previous two withholdings, and any other withholdings. Once this is complete then there is the payment that needs to be made. We offer payment by check or direct deposit (a process by which the payment will be directly deposited into the account(s) designated by the employee). Additionally, we offer the employee the ability to online access their direct deposit information, and to make changes to their method of payment or the accounts to which the deposit will be made. Also, we offer the employee online access to their W-2s and more.
Once the payment of payroll has been completed, there needs to be a filing of returns, which includes Federal 940 and 941 returns, state and local tax returns and annual W-2s. Simply put, all those withholdings and employer matches must be forwarded to the appropriate entities, taxing authorities or benefits administrators. We offer these services also.
Benefits Administration
The next area is Benefits administration. We say that this is next, but in all reality, you have probably already determined that you are providing benefits such as group health and other insurances, section 125 plans, retirement, and other benefits.
